Extended School Year
Extended School Year
Who's on ESY & who has some irregular data?
Here's the query (which gives a peek of the report structure in the background):
A little zoomed in:
The difference between useful to usable is in the design and formatting.
Input Controls
Add Input Controls on Case Manager to allow for removal of/focus on critical sub-populations.
Refresh on Open
In Properties -> Document, set the report to Refresh on Open.
Add a footer with "Last updated on: MM/DD/YYYY"
Manage Breaks
For this report, one school per page. Organized by Case Manager.
Plan breaks and sorts to match grain size of distribution or remediation.
We need to modify the report -- what now?!
Changing a Column's Value
Sometimes you figure out a column is containing less than adequate information.
Reopen the query.
Find the field you want to use in the Universal outline side menu.
Use the Search bar to help find the field.
Make sure you pay attention to Current Workspace vs. Historical Information. For this report, it's just about ALL Historical Information (because the most current IEP is in the Historical Information section 🥴)
So, how do you know what content is IN a field?
Add the field to the Query Filter
Use the button on the right of the field filter and select "Value from List"
This will show you the values in that field.
Make sure you remove the filter (if you don't actually intend to use it!) before moving on. Don't click the Remove ALL button next to the single Remove filter button or it'll clear out everything!
Once you find the field you want to use, add it to your Results Objects panel.
Select Run Query.
Open the Available Objects panel (left side).
Select the newly added Field from the Available Objects panel and drag it over the column you want to replace.
Make sure to save!
Adding Another Input Control
This Report has a pretty complicated Filter. It grabs both legitimate ESY placements, students still under assessment, and students who have some incongruous data.
We wanted a way to filter this report based on if the student has been determined eligible for ESY.
Adding another Input Control helps with this!
Open the Input Controls panel on the lefthand side.
Add a New Input Control.
Select the field you want to use. In this case, ESY Eligible?.
Select Next >.
We're going to create a Check box.
You can set the default values using the three dots menu here. We don't need that for this report right now.
Select the level you want to assign the input control.
For this report, I de-selected Page Body and selected Block 2.
This will add the Input Control to the lefthand menu. Use the arrows at the top to rearrange the order of the Input Controls.
You can leave the report as is but it's possible for missing blocks will appear if certain conditions are selected in the input control. We need to set up a Hide feature for the missing data.
Select the area you want to hide (notice the small boxes that appear over sections as you move your mouse).
Right click -> Hide -> Hide When...
Set up to hide the frame if Block 2 is empty.
Now repeat this for the School Level section.
One last thing, set the Default Value(s) of the Input Control to all three values and un-select the Allow selection of all values. It will help things work better!
